1. Set the basics
Choose the date, time and place, and work out what you have for tables, plates and fridge space. Decide whether this is a full meal or snacks, because that changes how many dishes you need.
2. Work out how many dishes you need
For a full meal, a useful starting point is one dish for every two people, spread across mains, sides, salads, desserts and drinks. Our potluck calculator works it out for your group.
3. Split the menu into categories
Without categories, people tend to bring whatever is easiest, and that is often dessert. List what you need by type, and give each type a limited number of spots.
4. Share one sign-up list
Send a single link to the group, ideally two weeks ahead. People should be able to see what is taken without asking you. Ask them to name their dish, so three people don't bring potato salad.
5. Ask about allergies
Ask guests to tell you about serious allergies, then set out cards so cooks can label dishes on the day. Common ones to note are nuts, dairy, eggs, gluten and shellfish.
6. Send one reminder
A few days before, share what is still needed. A short message works better than a long one, and it often fills the last gaps.
7. Plan for food safety on the day
The USDA advises against leaving perishable food out for more than two hours, or one hour when it is above 90°F. Keep cold dishes chilled until serving, and use slow cookers for hot food.
- Have serving spoons for every dish
- Keep a cooler handy for cold dishes
- Put out trash and recycling bins
- Have containers ready for leftovers
